    At the legislative level in the Russian Federation there is no consolidation of the concept of “company letterhead” of non-state enterprises. The normative act - GOST R 6.30 - 2003 puts forward one requirement: execution of the document on white or light paper. It should be noted that the specified GOST is advisory in nature. In practice, any document of an organization will hardly be considered without proper execution. What does a letterhead look like and how to create one? We will talk about this in our article.

    The activities of an enterprise, regardless of its organizational and legal form, are associated with large flows of information; the following are situations in which it is impossible to do without proper execution of messages:

    • outgoing letters (information, claims, guarantees, responses to requests from partners, and others);
    • informing about significant changes in the financial and economic activities of the enterprise;
    • execution of a power of attorney to represent the company’s interests in third parties;
    • provision of documents to regulatory organizations;
    • official congratulations on professional and generally accepted national holidays.

    Printing a letter on company letterhead creates the image of your company and improves document flow with partners and other external organizations.

    How to create your own letterhead in Word?

    The company's letterhead can be with angular or longitudinal arrangement of details, the information content of the details is the same, drawn up on an A4 sheet, observing the margins along the edges of the sheet:

    • top 15 mm;
    • lower 15 mm;
    • left 20 mm;
    • right 10−15 mm.

    Indentations cannot be neglected, since documents are often filed for storage. If the message is voluminous, it is better to arrange it on several sheets, while the second and subsequent sheets should not contain the headings of the letterhead.

    Messages should be formatted in a font size no smaller than No. 12, the most common font being TimesNewRoman. You can choose any font that is included in the standard Microsoft Word package and is easy to read. It is undesirable to use different fonts in the header of the letterhead and the message itself. It is allowed to highlight the most important fragments in bold text, italics, and underlining.

    Creating the “header” of a letterhead in steps:

    To ensure that official information about the company is not subject to erroneous changes, it is preferable to place the header in the header.

    1. Company logo and name. The purpose of placing a logo and name on a company’s letterhead is to quickly identify the organization. If there is no logo, the full name of the company is indicated at the top in large font. For companies that have an abbreviated name recorded in their constituent documents (in the Charter), it is advisable to indicate it below the full name, in parentheses.
      The font size should be determined independently, if the main text of the message is No. 12, for the name you can choose No. 16-18, highlighted in bold text.
    2. Requisites INN/KPP. After the name in the next line we indicate the official details of the company, numbers TIN and checkpoint in one line. Below you can place. The font in this block should be No. 8−10.
    3. Bank details. Below is a list of complete bank details, and correspondent account, name and BIC of the bank.
    4. Organization contact details. Along with listing the official information of the company, it is important to indicate contact telephone numbers with city code, postal address with zip code, and email.

    After listing all the information, mark the finished header with a solid line.

    Tips for preparing business messages on organizational letterhead:

    • The date of the message on business ethics should be issued in digital format - 01/01/2016.
    • When filling out the addressee field, first indicate the company name, position and then full name.
    • Initials always appear before the last name.
    • The position and full name of the addressee are indicated in the dative case (answers the question “to whom?”).
    • Write the title of the document, for example “Letter of Guarantee” or “Notification”.
    • Indicate the position of the person who signed the message. If, according to the logic of the message, there is a performer, write his name and contacts.
    • Do not use state symbols of the Russian Federation.

    Where to order and how much does it cost to design letterheads?

    The company letterhead forms the company’s image, demonstrates solidity and increases status in the eyes of partners.

    Company (or branded) letterhead is used in the following situations:

    • Orders (on a form, for example, can be issued or);
    • Agreements (both within the organization and with partners);
    • Powers of attorney;
    • Certificates (on the form you can print certificates for employees from the place of work: about income, for a visa, and so on);

    • Commercial offers;
    • Issued invoices;
    • Reports.

    Features of creating letterheads

    Any form begins with a “header”, which contains:

    1. (optional);
    2. Name and details of the organization (OGRN, for – KPP);
    3. Bank details (bank name, BIC, account number);
    4. Legal address;
    5. Contact information (physical address, phone number, email address, website).

    The location of the header can be either angular (a column in the upper left or right corner of the sheet) or longitudinal (along the entire line).

    Much less commonly, document templates use footers. For example, you can remove contact information at the bottom of the page, but leave the name and logo at the top.

    It is allowed to place not only the name, but also the company logo on letterheads.

    Both LLC and , may use any readable size font on their letterhead. The only conditions are that the text must be legible (it is recommended to use a font of at least 10 points), and the paper must be white or light (this is stated in GOST R 6.30).

    The use of country symbols (flag, coat of arms) by non-governmental organizations is prohibited. In general, the appearance of the letterhead, like any other management documentation, is subject to GOST R 30-2003, but its requirements are only advisory in nature.

    Do not overload the document with graphic images (large logo). The more pictures there are on the form, the more expensive it is to print and the more difficult it is to send by fax and email. You should completely avoid photographs with small details and background images.

    The header should be present only on the first page of the form, but the formatting (font, its color and size, line spacing, etc.) must be kept consistent for the entire document, regardless of its size.

    The use of bold or italic fonts is allowed on letterhead, but it is better not to use multiple fonts at once.

    Printing on high-quality thick paper can add credibility to the letterhead. Blank forms with the company logo and header can be ordered in advance at a printing house, and then the necessary documentation can be printed on them using a regular office printer.

    How to make a letterhead

    You can create a letterhead template in one of the following ways:

    • Independently in a text editor (for example, in the popular Word);
    • Using special programs, including online;
    • Through the services of professionals.

    You can print ready-made templates for future use in large quantities at a printing house, which will cost the company 0.5-1 rub. per copy, or independently on the printer. In both cases, the price will depend on the quality of paper, ink and printing method (digital printing, offset).

    You need to know moderation in everything, so you shouldn’t chase the most expensive option. Forms on glossy or too thick paper look impressive, but are completely inconvenient to use.

    Offset printing of forms is beneficial only for large print runs (from 3,000 copies), and in terms of speed it is always inferior to digital printing (5 days versus 1 hour).

    In a text editor

    To make your own form on a computer (for example, in Microsoft Word or Openoffice Writer), you need to start by creating a new document.

    Set page parameters:

    • A4 format;
    • Portrait (vertical) orientation;
    • Top and bottom margin 15 mm;
    • The left margin is 20-25 mm (so that the document can be filed), the right margin is from 10 to 15 mm.

    Next, we create the header. To make it difficult to change, it is better to place the text in the footer. It is most common to use only the “header”, that is, the header, but if desired, the information can be divided into two parts and placed in both the header and footer.

    Printing the header:

    1. Logo, name. For recognition, it is better to start the form with a logo image, but if there is none, you will have to write the company name. It is advisable to do this in large bold font (if all the text is printed in 12 font, then the name can be safely written in 18 font).
    2. TIN and one line, already in small font (about 10).
    3. next line (depending on the form).
    4. Full bank details. Not only the account number, but also the name and BIC of the bank.
    5. Contact details.

    After the header (or before the footer) we draw a line in the form of a solid line across the entire width of the sheet. This is necessary to visually separate details and contact information from the main content of the document.

    You can even create your own letterhead online. Moreover, working in programs specifically designed for document design is much more convenient than in text editors.

    For example, you can create a personal form online on the Canva website and on the websites of some printing houses.

    The advantages of such services lie primarily in libraries of ready-made solutions and templates. Most sites allow you to create a form not from scratch, but according to one of the designs, which you only need to add your own logo and details.

    The finished template can be downloaded as an image or PDF document, or sent directly to print.

    The standard establishes requirements for paper formats used in office work:

    The standard establishes the basic requirements for the preparation of official documents.

    The text of the letter itself is typed in a font of at least 12 point, the typeface can be any of the standard Microsoft Office set, most often it is Times New Roman.

    Using two different fonts in the header of the form is not advisable. In the message itself, you can use italics or bold text to highlight important points. It is absolutely forbidden to highlight parts of the text in CAPITAL letters, it is also not nice, like shouting during a conversation.

    These were general points, now let’s look step by step at how to create a letterhead header yourself, without missing a single component.

    Let us immediately note that it is most convenient to create all design elements in the header in order to prevent them from being accidentally changed.

    Step-by-step creation of a letterhead header

    Step 1.

    We place the company logo and name. The main purpose of these elements is instant identification of the sender and the convenience of further processing of correspondence. If the company logo is under development or is missing altogether, then instead you can simply give the full name of the company in large font. If there is an abbreviated version of the name in the Charter of your company or in other constituent documents, then it must be indicated immediately below the main one (in parentheses). We determine the font size approximately as follows: if the main text of the message is typed in 12 point, then 16 point is suitable for the name, if the main text is 14, then the name is 18.

    Step 2.

    We post official company data and TIN/KPP details. This information is placed on one line. Right under no you can give your OGRN number. The font size used to type this data is 8-10.

    Step 3.

    We place bank details, current account and correspondent account, name and BIC of the bank.

    1. As per modern business standard, the date format should be digital 08/01/2017;

    3. Initials must be placed before the surname - A.E. Petrov, but not Petrov A.E..
    4. The addressee's position and surname are given in the dative case, i.e. answers the question "Who?"

    After opening the header for easy editing and placement of data, add a table consisting of one row and 2 columns. This can be done using the menu "Insert" → "Table" from the "Tables" section:

    Next, we will place the company logo in the left cell, and information about the company in the right and give the details alignment to the left. To insert an image, use the “Insert” → “Drawing” tool from the “Illustrations” section:

    After that, format the details to your taste and remove the display of borders from the table. To do this, select the entire table by clicking on the "Arrow" icon:

    Now start filling out the bottom of the letterhead. If you haven't closed footer editing, then start filling out the footer. If you have closed editing headers and footers, then simply double-click at the bottom of the page in the highlighted area:

    In the footer, we will display the company details. Let's add a phone number, website and email address:

    Now we can add some graphic design for our form. Let's go to the header again. In the Insert tab, select Shapes → Rectangle. And place a rectangle in the header. Right-click on it and select “Send to Back” → “Place Behind Text”:

    Stretch it across the entire header and footer area, and then move on to formatting it. Set "Shape Outline" to "No Outline". Go to "Shape Fill" → "Gradient" and select settings approximately as in the example:

    In the example, I split the window to show both the top and bottom parts at once. Also, do not pay attention to the dullness of the colors and text in the headers and footers; this happens when you switch to document editing mode. Everything will be clearly visible when printed.
